Position Summary

The Secretary/Treasurer supports the Board of Supervisors and Township Manager in all financial operations, including accounting, payroll, reporting, and recordkeeping. This role ensures accuracy, compliance, and efficiency in financial processes while providing administrative support to Township functions. Work involves assisting in the direction of all departments and other activities of the government units. This employee is responsible for providing special assistance in financial administration, planning, research and other related functions. The Township Secretary/Treasurer will act as a liaison for all Departments to the Manager and Board of Supervisors and coordinate and administrate functions for the effective operations of the Departments. The employee must exercise considerable independent judgment on behalf of the Board. Work is performed under the direction of the Board of Supervisors and Township Manager. Attendance is required at all regularly scheduled meetings, special meetings and work sessions.

Essential Duties & Responsibilities

Accounting & Financial Operations

  • Perform daily bookkeeping and maintain financial records
  • Process accounts payable and receivable transactions
  • Reconcile bank accounts and financial statements
  • Preparation of financial reports and audits, monthly, quarterly, yearly

Payroll Administration

  • Prepare and process payroll, including tax filings and deductions
  • Maintain employee payroll records and benefits tracking
  • Ensure compliance with federal, state, and local payroll regulations

Administrative Support

  • Prepare financial documents, reports, and correspondence
  • Budget preparation and monitoring
  • Maintain organized filing systems for financial records and employee files
  • Prepare reports and applications for grants
  • Prepare reports, agendas minutes and other material necessary for the operations of the Township
  • Assists in developing Township Objectives, policies, procedures and regulations
  • Participate in seminars & trainings

Qualifications

  • Associate or bachelor’s degree in accounting, Finance, or related field and/or years of experience
  • Experience in municipal finance or bookkeeping preferred
  • Strong attention to detail, organizational skills and interpersonal skills
  • Proficiency in accounting software and Microsoft Office
  • Ability to multi-task, work independently, meet deadlines and handle confidential information
  • Ability to be bonded as required by 2nd Class Township Code
